Take meeting notes in Confluence with the Meeting notes template: goals, discussion topics, action items with an owner, and the decisions you made. Step by step for business analysts.

Step by step

The template

  1. Meeting notes. Good meeting notes answer 3 questions: what did we talk about, who does what next, and what did we decide. Confluence's Meeting notes template has a place for each one.
  2. Meeting notes template. Open the template gallery and pick Meeting notes.
  3. Use template. Click Use template. Close the template panel to get more room to write. Today's date is already filled in at the top of the page.

Before the meeting

  1. Name the meeting. Replace the title with one people can search for, such as Checkout review meeting notes.
  2. The goal. Before the meeting starts, write its goal in one line: Agree what goes into the checkout release.

During the meeting

  1. Discussion. During the meeting, add each topic to the discussion table, such as Card payments. Next to it, write a short note on what was said: Ready for testing on Friday.
  2. Action items. Action items are tasks with a tick box. Always say who does each one. Here it is Prince: write acceptance criteria for discount codes. To assign it for real, type @ and pick the person.
  3. Decisions. Record every decision, so nobody has to remember it later. Here the decision is: Card payments ship before discount codes.

Share it

  1. Publish. When the notes are ready, click Publish, then click Publish again to confirm.
  2. Shared with the team. The notes are now saved in the project space. Action items with an @mention also show up in that person's task list.

Recap

  1. Talked, do, decided. To sum up: use the Meeting notes template, write the goal, note each topic, give every action item an owner and record the decisions.

Common mistakes

  • Action items with no owner. A task like "write acceptance criteria" with no name gets done by nobody. Start each action item with the person who owns it. To assign it to them, @mention them in the action item.
  • Decisions left inside the discussion notes. If a decision only sits in the discussion table, people have to reread the whole page to find it. Write each one in the decisions section too, such as Card payments ship before discount codes.
  • A vague page title. A title like "Meeting" is hard to find later in search. Name the topic, such as Checkout review meeting notes. The template already adds the date.
  • Writing the goal after the meeting. If you write the goal afterwards, it just describes what happened. Write it in one line before the meeting starts, so you can check at the end whether you reached it.

When a business analyst uses this

After a requirements workshop, a business analyst publishes the notes in the project space. Each follow-up, like writing acceptance criteria for discount codes, is an action item with an owner, and each agreed scope decision is recorded. Before sign-off, nobody can then argue about what was decided.
